General

What is Insights?

Insights is a brand-new reporting application built from the ground up to improve the reporting we provide customers. 

Some features of Insights include:

  • More Frequent Data Updates: HealthStream System report data updates once every 24 hours. Insights data currently refreshes every 3 hours. 
  • Run Larger Reports: Insights' more robust data engine will allow for larger reports to be run compared to HealthStream System Reports
  • Custom Report Builder: Build your own custom report from scratch for reporting scenarios where a standard report doesn't provide what you need.
  • More Flexible Standard Reports: Ability to add additional columns to your report, ability to apply a filter to any column in your report, etc.
  • Better Scheduled Report Management: Admins can be provided with visibility to all scheduled reports across their organization, download prior report runs, "Run Now" capability, ability to change the schedule or recipients

Insights is designed to be an application-agnostic reporting application. While our first use case is to improve HealthStream System reporting, we will be incorporating reporting from other applications in the future such as the HealthStream Performance Center, CredentialStream, and many others.

 

Access

When Will Insights Be Available?

The rollout of Insights is underway. We anticipate all customers will have access by the end of May 2025.

 

How Do Users Get Access to Insights?

Once your organization has been onboarded to Insights your Enterprise Administrators will have the ability to grant other HealthStream System administrators access to Insights by assigning the “Insights Administrator” role to the users.

If a user is not a HealthStream System administrator but still needs access to Insights or needs to be able to receive Insights reports they can be added to Insights by navigating to Insights Settings → Users → Create User. Learn more about creating and managing ‘manual users’ here and reference the section for “Adding and Managing Manual Users.”

 

How Do Users Access Insights?

Once a HealthStream System administrator has been given the “Insights Administrator” role they can access Insights by clicking the “Insights” button in the HealthStream System's App Drawer.

 

How Are User Permissions Managed?

Insights user permissions are managed within Insights by going to Insights Settings → Users page.

Data

How far back does the data in Insights go?

Insights will have a rolling 7-year history of data available.

 

How often is data updated?

Currently, the data in Insights is updated every 3 hours at the following times:

Can I create a Custom Report?

Insights features a report builder allowing users to create their own custom reports.

What datasets are available?

The first Custom Report datasets available today are Assignment Metadata, Assignment Progress data, and Student Metadata. 

After Insights launches additional datasets will be rolled out as development is completed, including:

What browsers are supported?

Insights is compatible with Safari, Chrome, Edge, and Firefox.

 

Do I need to add Insights to my organization's Allow-list?

Yes, if Insights is blocked then you will need to add the following URLs to your allow-list:

Current HealthStream System Reporting

What Insights report is replacing the legacy HealthStream System Reports?

The Insights Knowledge Base contains a mapping of legacy HealthStream Reports to Insights reports which can be viewed here.

 

What will happen to the current reports in the Reports tab in the HealthStream System?

Insights will replace many of the current HealthStream System standard reports under the “Reports” tab in the HealthStream System. We will not be rebuilding all current HealthStream System reports into Insights as many reports are deprecated or unused. Similarly, many reports have been consolidated from many into one in Insights. For example, there are 5 Assignment Progress-related reports in the HealthStream System today, but we’ve consolidated them into a single report title Assignment Progress in Insights. Once specific Insights Standard Reports are released, the respective reports in the HealthStream System will be marked for deprecation 12 months post-Insights release. 

 

Do I have the option to continue using the HealthStream System's standard reports?

Yes, for a limited time. You can continue to use the HealthStream System standard reports until the day they are deprecated (approximately 12 months after the replacement Insights report is released).

 

What will happen to the reports I have scheduled in the HealthStream System?

HealthStream System scheduled reports will not transfer to Insights. HealthStream System scheduled reports will continue to run for 12 months after the release of the respective Insights report. Insights features the ability to schedule any Standard or Custom Report. 

 

What will happen to the HealthStream Analytics application?

HealthStream Analytics will continue to be available for users who have access to that application.

 

What will happen to the My Team Dashboard and the reports available there?

My Team Dashboard and the reports accessible there will continue to be available and unchanged for users who have access to that dashboard.

 

What will happen to Custom Data Extracts?

Insights will reduce the number of custom data extracts by providing more flexible reporting options and the ability to drop the reports onto an SFTP (Secure File Transfer Protocol) location.

 

What will happen to the Data Extract application?

Insights will replace the current Data Extract application that many users have been beta testing. While Data Extract will be deprecated, the Insights Custom Reports component has been built to satisfy this same use case and will appropriately replace Data Extract.
